Project Manager – Digitisation

Laws.Africa is hiring a Project Manager to plan and deliver the digitisation of African legal materials at scale: gazettes, judgments, legislation, and other bulk collections. The content this work produces reaches over a million people a year and supports the rule of law, business, government, and human rights across the continent. This is a project and people management role first. Our delivery runs across several countries, several teams, and a mix of internal staff and contractors. It succeeds or fails on whether somebody is holding the plan, the sequence, the handovers, and the deadlines. That is the job. You do not need digitisation experience. We will teach you our scanning workflows, quality standards, and tooling. What we cannot easily teach is running complex work to a deadline across several teams. If you have done that and can show us how, we want to hear from you.

Responsibilities

  • The plan. Turn high-level priorities into work plans, schedules, and milestones across countries and projects, and scope new projects from start to finish
  • The people. Allocate work to digitisation staff and contractors, track progress, give feedback, and keep distributed teams pulling in the same direction
  • The quality bar. Maintain the checks that keep digitised content usable by our editorial, website, and product teams, and fix recurring problems through better documentation, guidance, and training
  • The visibility. Report on throughput, turnaround times, error rates, and capacity, and escalate risks and delays early rather than late

How we work

  • We are a small team that values ownership and clear accountability
  • We work remotely, across South Africa, Kenya, and elsewhere
  • We prioritise predictable delivery and follow-through over heroics
  • We would rather hear about a problem early, with a proposed solution, than hear a reassurance that turns out to be wrong

Requirements

  • Three or more years running projects from start to finish, with real accountability for the deadline and the outcome
  • Evidence of delivering work that ran across more than one team, where the parts had to be sequenced rather than simply done in parallel
  • Experience managing staff and contractors, including holding people to commitments when you have no authority to compel them
  • Clear written communication; most of our coordination happens in writing
  • The judgement to prioritise when everything looks urgent, and to raise problems early with a proposed solution
  • Based in South Africa or Kenya, and able to travel nationally and internationally when required

Useful, but not required

  • Formal project management training; we care considerably more about what you have delivered than about what you are certified in
  • Experience with digitisation, publishing, data processing, or similar production pipelines
  • Familiarity with legal or government content

How to apply

There are three parts to the application, and we will not consider an application that is missing any of them.

  • Assignment: Complete the short planning assignment. It should take 60 to 90 minutes; please do not spend longer on it
  • Cover letter: Write it in the application form
  • CV: Include your CV with the submission

Submit all three parts through the application form. There is nothing to email. We read the assignment before we read the CV. If you have questions about the role, email jobs@laws.africa.

Administrative Coordinator

Laws.Africa is hiring an Administrative Coordinator to run the day-to-day administration that keeps a small, remote team working, and to provide direct support to the Director of Partnerships. That means invoices and timesheets, quotes and supplier follow-up, calendars and meetings, contracts and onboarding, travel and events, and the shared drives and inboxes everyone depends on.

Most of this work is currently done by managers and specialists in between their main jobs. We want one person to own it, run it the same way every month, and keep it visible so that nothing sits waiting in someone's inbox.

A lot of the job is closing loops. The invoice that hasn't arrived, the quote nobody followed up, the meeting promised to a partner and never booked. If a tracker with nothing overdue gives you real satisfaction, we'd like to hear from you.

You don't need a legal background. You'll learn how our editorial and digitisation teams work as you go.

Responsibilities

  • Invoices and payments paperwork. Collecting and checking monthly invoices and timesheets from contributors, editors and data capturers against their contracts, rates and hours. Making sure each one carries the project, country and content type that Finance needs to charge the cost to the right funder, then passing them to Finance on a fixed monthly cycle. Processing expense claims against our policies.

  • Quotes, suppliers and subscriptions. Getting quotes, preparing side-by-side comparisons for the budget holder to decide on, and following up supplier invoices until they are paid. Keeping a register of the tools and subscriptions we pay for and when each one renews.

  • Calendars and meetings. Scheduling internal project meetings, sending invitations, adding new team members to recurring meetings, and taking notes and actions where needed.

  • Direct support to the Director of Partnerships.

  • Onboarding. Running onboarding and offboarding: email accounts, platform and drive access, time tracking, meeting invitations and the step-by-step guides new people need.

  • Travel and events. Booking flights, accommodation, venues and catering for team travel and Laws.Africa events, within budget and policy.

  • Shared drives, inboxes and access. Keeping shared drives organised and access correct, monitoring shared inboxes and routing what arrives, and handling access requests.

  • Trackers and processes. Keeping simple trackers for invoices, subscriptions and open requests so anyone can see what's outstanding. Writing down how each process works, so that it doesn't depend on one person's memory, yours included.

This role prepares, checks and follows up. It doesn't approve spending, choose suppliers or keep the books. Budget holders approve and Finance pays, and your job is to make sure everything reaches them correct and on time.

How we work

  • We are a small team that values ownership and clear accountability.

  • We work remotely, across South Africa, Kenya and elsewhere.

  • We prioritise predictable delivery and follow-through over heroics.

  • We would rather hear about a problem early, with a proposed solution, than hear a reassurance that turns out to be wrong.

Requirements

  • Two or more years in an administrative, office management, executive assistant or operations support role.

  • Experience processing invoices, purchase paperwork or expense claims, and the accuracy to catch a wrong rate, a missing timesheet or a duplicate invoice before Finance does.

  • Experience managing someone else's calendar when it is busy and keeps changing.

  • Confidence with Google Workspace (Gmail, Calendar, Drive, Docs and Sheets) and the ability to pick up new tools quickly.

  • Clear written communication. Most of our coordination happens in writing, on Slack and by email.

  • The persistence to follow up without being asked twice, and the judgement to know when to escalate.

  • Discretion with contracts, rates and personal information.

  • The habit of working in an organised way: files where they belong, trackers kept current, nothing lost between tabs.

  • Based in South Africa or Kenya, with reliable internet and availability during South African working hours.

Useful, but not required

  • Experience in a non-profit or on donor-funded projects where costs are tracked by funders.

  • Familiarity with Slack, Notion, DocuSign or time-tracking tools.

  • Experience arranging travel and events across African countries.

  • Basic design skills for simple social media graphics, using Canva or similar.
